Terms and Conditions of Accommodation

Article 1 (Application of These Terms and Conditions)

The terms and conditions of accommodation entered into by this hotel and any related contracts shall be governed by the provisions of these Terms and Conditions; matters not specified herein shall be governed by applicable laws and regulations or customary practices.

Notwithstanding the provisions of the preceding paragraph, this hotel may agree to special terms and conditions to the extent that they do not conflict with the intent of these Terms and Conditions, applicable laws and regulations, or customary practices.

Article 2 (Application for Accommodation Contract)

Any person wishing to apply for an accommodation contract with the Hotel must provide the following information to the Hotel:

  • Guest Name / Number of Guests (Adults/Children) / Gender / Address / Telephone Number
  • Dates of Stay and Estimated Time of Arrival
  • Accommodation Rates (Appendix 1)
  • Any other matters deemed necessary by the Hotel

Appendix 1

Total Amount Payable by the Guest
Accommodation Charges 1. Basic Accommodation Fee (Room charge + meal charges for dinner, breakfast, etc.)
Additional Charges 2. Additional Food and Beverage (excluding items included in 1.)
Taxes 3. Consumption Tax
Non-Statutory Purpose Tax 4. Lodging Tax: Applies to stays of 6,000 yen or more per person per night (for room-only stays, excluding tax)

If a guest requests to extend their stay beyond the number of nights specified in Item 2 of the preceding paragraph during their stay, the Hotel shall treat such request as a new application for an accommodation contract as of the time the request is made.

Article 3 (Conclusion of Accommodation Contracts, etc.)

The accommodation contract shall be deemed to have been concluded when the Hotel accepts the application referred to in the preceding Article. However, this shall not apply if the Hotel proves that it did not give its consent.

When an accommodation contract is concluded pursuant to the provisions of the preceding paragraph, the guest shall pay a deposit determined by the Hotel, not exceeding the basic accommodation charge for the period of stay (or three days if the stay exceeds three days), by the date specified by the Hotel.

The reservation deposit shall first be applied toward the accommodation charges ultimately payable by the guest. If a situation arises in which the provisions of Article 6 or Article 15 apply, the deposit shall be applied first toward liquidated damages and then toward compensation; any remaining balance shall be refunded upon payment of charges pursuant to Article 12.

If the reservation fee specified in Paragraph 2 is not paid by the date designated by the Hotel pursuant to the provisions of that paragraph, the accommodation contract shall become void. However, this shall apply only if the Hotel has notified the guest of the payment due date for the reservation fee.

Article 4 (Special Agreement Exempting Payment of the Reservation Fee)

Notwithstanding the provisions of Paragraph 2 of the preceding Article, this hotel may agree to a special provision waiving the requirement to pay the reservation deposit specified in said paragraph after the contract has been concluded.

If, upon accepting an application for an accommodation contract, this hotel does not request payment of the reservation deposit specified in Paragraph 2 of the preceding Article or does not specify a due date for such payment, this shall be treated as having agreed to the special provision set forth in the preceding paragraph.

Article 5 (Refusal to Conclude an Accommodation Contract)

The hotel reserves the right to refuse accommodation in the following cases:

  • When the accommodation request does not comply with these terms and conditions
  • When there are no available rooms due to the hotel being fully booked
  • When it is determined that the guest is likely to engage in conduct that violates laws and regulations, public order, or public morals
  • When special burdens are imposed in connection with the accommodation
  • When accommodation cannot be provided due to natural disasters, facility malfunctions, or other unavoidable reasons
  • When it is determined that the guest falls under any of the following categories
A.

Organized crime groups as defined in Article 2, Item 2 of the Act on the Prevention of Unjust Acts by Organized Crime Group Members (Act No. 77 of 1991) (hereinafter referred to as “organized crime groups”), organized crime group members as defined in Article 2, Item 6 of the same Act (hereinafter referred to as “organized crime group members”), quasi-members of organized crime groups, persons associated with organized crime groups, and other antisocial forces

B.

When a corporation or other organization is controlled by a criminal syndicate or a member of a criminal syndicate

C.

A corporation that has among its officers a person who is a member of an organized crime group

  • When we determine that other guests may be harmed in any way
  • When a guest is suspected of having a contagious or infectious disease
Article 6 (Reservation Deposit)

If we accept your reservation request, we may require a deposit by a specified deadline (limited to the equivalent of three nights’ basic room rate if your stay exceeds three nights).

If the circumstances described in the following article apply, the deposit referred to in the preceding paragraph shall be applied toward the penalty specified in that article, and any remaining balance shall be refunded.

Article 7 (Cancellation of the Contract by the Guest)

If we accept your reservation request, we may require a deposit by a specified deadline (limited to the equivalent of three nights’ basic room rate if your stay exceeds three nights).

Article 8 (The Hotel’s Right to Terminate the Contract)

Except as otherwise provided, the hotel may cancel a reservation in the following cases.

  • When the circumstances described in Article 5, paragraphs 3 through 8 apply
  • Where a request has been made for disclosure of the matters specified in Article 2, paragraph 1, and such matters are not disclosed by the deadline
  • If a request is made for payment of the deposit specified in Article 5, Paragraph 1, and such payment is not made by the due date
  • When a person is clearly identified as having a contagious or infectious disease
  • When violent demands are made regarding accommodation, or when a burden exceeding reasonable limits is imposed

If we cancel a reservation in accordance with the provisions of the preceding paragraph, we will refund any reservation deposit already received for that reservation.

Article 9 (Registration of Accommodations)

Guests are required to provide the following information to the front desk on the day of their stay.

  • Guest’s Name / Address / Phone Number / Gender / Age
  • For foreign nationals without a residential address in Japan: passport number, port of entry, date of entry, and a copy of your passport
  • Departure Date and Scheduled Departure Time
  • Any other matters deemed necessary by the facility

If a guest intends to pay the fees specified in Article 12 using traveler’s checks, accommodation vouchers, credit cards, or other means of payment in lieu of cash, the guest must present such items at the time of registration as described in the preceding paragraph.

Article 10 (Room Usage Hours)

Guests may use their rooms from 2:00 p.m. until 9:00 a.m. the following morning. However, for guests staying for consecutive nights, rooms may be used throughout the day, except on the day of arrival and the day of departure.

Notwithstanding the provisions of the preceding paragraph, this hotel may accommodate requests for guest room use outside the hours specified therein. In such cases, the following additional charges will apply.

  • Up to 2 hours: 6,000 yen
  • For use exceeding 2 hours, a fee of 1,000 yen will be charged for each additional hour.
Article 11 (Business Hours)

The operating hours for our facilities are as follows.

  • Our business hours are until 9:00 PM.
  • Breakfast will be served from 7:00 to 8:00 a.m.
  • Dinner will be served from 6:00 p.m. to 7:00 p.m.
  • Bathing hours are from 3:00 PM to 9:00 PM.
  • The business hours for 2612 STORE are 8:00 AM to 5:00 PM in the summer and 8:30 AM to 4:00 PM in the winter.
  • The business hours for 2612 Café & Restaurant are 8:30 AM to 4:30 PM in the summer and 9:30 AM to 3:30 PM in the winter.
  • Lounge ~2612~ will be open from 9:00 AM to 3:00 PM and from 8:00 PM to 8:30 AM the following morning.

The times listed above are subject to change depending on special events and the season.

Article 12 (Compliance with the Terms of Use)

Guests are required to comply with the rules and regulations established by the hotel and posted on the premises.

Article 13 (Payment of Fees)

Payment must be made at the front desk upon the guest’s departure or when requested by the hotel, using cash, traveler’s checks approved by the hotel, advance bank transfer, credit card, or a lodging voucher.

If a guest chooses not to stay after we have made a room available to them, we will charge the full room rate.

Article 14 (Liability of the Museum)

(The hotel shall be liable for any damages caused to guests arising from the performance of the accommodation contract or any related contracts, or from any breach thereof. However, this shall not apply if such damages are not attributable to the hotel.)

Article 15 (Storage of Guests’ Luggage or Personal Belongings)

We do not accept packages sent in advance by guests prior to their stay.

If a guest leaves behind any luggage or personal belongings at the hotel upon check-out, and the owner is identified, the hotel will contact the owner and seek their instructions. However, if no instructions are received from the owner or if the owner cannot be identified, the items will be held for seven days, including the day of discovery, after which they will be turned over to the nearest police station.

Guests are requested to store their luggage and personal belongings in the designated area prior to check-in or after check-out. Please note that guests are solely responsible for the safety of their belongings, and the hotel assumes no liability whatsoever.

Article 16 (Guests’ Responsibilities)

If the hotel suffers damage due to the guest’s willful misconduct or negligence, the guest shall compensate the hotel for such damage.

Article 17 (Handling of Deposited Items, etc.)

In the event of loss, damage, or other harm to items, cash, or valuables left in the hotel’s care by a guest, the hotel shall compensate for such damage, except in cases of force majeure. However, with regard to cash and valuables, if the hotel has requested that the guest declare the type and value of such items and the guest has failed to do so, the hotel shall compensate for such damage up to a maximum of 150,000 yen.

The hotel shall compensate guests for any loss, damage, or other harm caused by the hotel’s willful misconduct or negligence to items, cash, or valuables that guests have brought into the hotel but have not entrusted to the hotel’s care. However, for items for which the guest has not provided prior notice of the type and value, the hotel’s liability shall be limited to 150,000 yen.

Article 18 (Responsibility for Accommodation)

Our liability regarding your stay begins at the earlier of the time you check in at the front desk or the time you enter your room, and ends when you vacate the room upon departure.

Notes
  • The base room rate is subject to the rate calendar posted on our website or within the hotel.
  • The child rate applies to elementary school students and is 80% of the adult rate. Any amounts less than one yen will be rounded down.
  • There is no charge for infants if bedding and meals are not provided. If bedding and meals are provided, the infant rate listed on the rate calendar will apply.

Please note that these Terms and Conditions are subject to change. These Terms and Conditions may be revised from time to time as necessary. In the event of any revisions to these Terms and Conditions, the hotel will post the revised terms and their effective date on the hotel’s website or in guest rooms.
